NASPA Online Learning Community

Creating an Accessible Virtual Environment

"NASPA believes that equity, inclusion, and social justice require continual pursuits to ensure that members from all identities, backgrounds, abilities, and belief systems have access, voice, acknowledgment, and opportunities to participate at all levels within the Association and the profession."

This statement by the NASPA Board of Directors guides our practices of creating a conference experience that is inclusive, welcoming, accessible, and free from discrimination or harassment.

This page will provide resources and guidance to ensure your session is as inclusive as possible. For additional assistance, contact virtuallearning@naspa.org.

Designing Your Presentation

  1. Ensure proper reading order. Make sure slides and resources have a good flow for the screen reader. Users may not understand the context if information is not in reading order.
  2. Provide good contrast. Stay away from yellow and orange colors.
  3. Don't use images of text. Use true text to ensure screen readers can pick up the text. If you use images or icons, make sure there is text to describe the image.
  4. Use large text size. Smaller text sizes will be difficult for many to read, especially in virtual space.
  5. Stay away from colors that convey content. Attendees might be unable to see colors and therefore may not follow the content.

Before the show

NASPA requires all presenters to submit any slides and resources three business days before the event or program. This ensures an inclusive and accessible experience for attendees. All slides and documents must be in PDF format and have alternative text for any images. Here are some items to consider when planning and practicing for the event:

  1. Talk slower so the audience can hear you; make sure your microphone is on, and the audio is working.
  2. Submit all your materials in PDF form for screen readers.
  3. Verbally describe all the graphs and charts.
